Checkpoints

Checkpoints are a core feature of the SynControl platform, providing step-by-step instructions that define what to inspect, how to examine it, which tests to perform, and the criteria for determining whether it is “OK” or “Not OK”. They are grouped into checklists that guide inspectors and auditors through a structured process.

Each checkpoint may also include checkpoint inputs, such as text fields, multiple-choice options, numeric values, or tables, to capture observations in a standardized way. Configured during initial setup and refined over time, checkpoints ensure consistency, clarity, and traceability, making them central to the workflow in SynControl’s Quality module.

Log in to your SynControl account at your organization’s URL (e.g., acme.syncontrol.com).

Creating a New Checkpoint

Log in to your SynControl account at your organization’s URL (e.g., acme.syncontrol.com).

Go to Data > Checkpoint list, then click on the “Create new Checkpoint” button.

A new checkpoint detail form will appear, where you can enter the required information. The required fields are explained in the table below:

Checkpoint Category *Defines the broader group the checkpoint belongs to (e.g., Inner Packaging, Product Packing, Export Packing). Helps organize checkpoints for easier navigation and reporting.
You can create custom categories from the Vocabulary page.
Checkpoint Motive *Explains the purpose of the checkpoint (e.g., Function, Conformance to Specs). Ensures inspectors understand why this test or check is necessary.
You can create custom checkpoint motives from the Vocabulary page.
Coefficient (in %, for evaluation, 0 - 100) *Typically used for audits, not inspections. Sets the weight or importance of this checkpoint in the overall evaluation score. Higher percentages mean the checkpoint has a greater impact on inspection results.
Photo no prob *[Keep as “0” by default]
Default quantity to inspect *Specifies the standard number of samples/items that should be checked. Ensures consistency across inspections.
Values options are: All samples, 1 pc, I, II, III, S-1, S-2, S-3, S-4, Custom.
Service type (select none for all/any)The checkpoint can be set to apply only to specific service type(s) if required. If left blank, the checkpoint applies to all services.
Is important?Marks the checkpoint as critical. Important checkpoints highlight areas that could significantly impact product quality or compliance if failed.
Ordinal position within category (0-100)Defines the order in which the checkpoint appears within its category. Ensures a logical inspection flow for inspectors.
Name *The title of the checkpoint (e.g., “Moisture Check”). Provides a clear label that inspectors can quickly identify during inspections.
Description *Instructions or explanation of what the inspector must do. Helps ensure the checkpoint is performed consistently across different inspectors.
Required Result *Defines the expected outcome (e.g., “Moisture must not exceed 12%”). Provides the pass/fail criteria for evaluation.
ToolsList any tools or equipment required for the checkpoint (e.g., digital scale, caliper, moisture checker, battery). Ensures inspectors have the right resources available.
Click the “Create a new tool” button to create a tool.
Checkpoint inputsCustom inputs can be added to enable technicians to capture detailed measurements or observations. By default, only a general result is recorded for each checkpoint, but when specific data is required, such as dimensions for a textile product, custom inputs allow precise and structured data collection.
Click the “Manage Inputs” button to add and configure the inputs for a checkpoint.
Checkpoint photosSpecifies the photos for this checkpoint. Supports evidence collection and strengthens quality traceability.
Click the “Add File” button to add a new file.
Application criteria (to which products it will be applied)This is a more advanced configuration. Only a limited set of product properties are displayed here, specifically, those for which the “Is used for Checkpoint or Technical Folder criteria” option has been selected in the Meta Properties.
Properties to check during inspectionWhen a checkpoint is linked to a product property, the checkpoint will display the required value. The required value is the value saved in the SynControl database for the product being inspected. If that field in our database is empty, nothing will be displayed.
For example, for the checkpoint “Check frequency”, select the product property “Frequency”. Then, for all products that have that property filled, a technician will have to compare the ideal value with the measured value.

The * mark indicates that the fields are mandatory.

New Checklist

Applying Checkpoints to Products and Bookings

By default, all new checkpoints apply to every product and booking. To make inspections more efficient and accurate, you can define application rules so checkpoints only appear where they are relevant.

Filter by Service Type

Checkpoints can be tied to a specific Service Type. They will only apply to bookings with the same service type.

Example: A “Voltage Test” checkpoint applies to Product Inspections but not to Factory Inspections.

Booking Service Types can be managed in the Vocabularies page.

Filter by Product Properties (Application Criteria)

Not every checkpoint is needed for every product. Use Meta Properties to refine applicability.

Example 1: A soft toy and an electrical product require different checkpoints.

Example 2: A Country property can enforce region-specific inspection checkpoints, e.g., US vs. EU regulations.

To enable this, mark the Meta Properties checkbox of: “Used for Checkpoint or Technical Folder Criteria.”

Ensuring Correct Application

When you attach a product to a booking, the platform automatically assigns all relevant checkpoints based on your rules.

If you change a booking or product and expect a new set of checkpoints, click the Refresh button next to the product to update the checkpoint list.
