Import & Export
Found in: Data > Import-ExportThe Import / Export module enables administrators and users to efficiently transfer large sets of data between external sources (like spreadsheets or management systems) and the SynControl platform.
It supports structured templates for importing new records, such as products, suppliers, checklists, and standards, as well as exporting system data for analysis, auditing, or reporting.
This functionality significantly reduces manual data entry, improves consistency, and helps maintain synchronized datasets across connected systems.

Navigation
Step 1: Log in to your SynControl account using your administrator credentials and navigate to: Data β Import / Export.

Step 2: The dropdown will present three key options:
- Export
- Import
- Import History
Each of these serves a specific function in managing bulk data operations.

Export
Export allows you to extract data from SynControl into an external file format such as Excel. This is particularly useful for auditing, reporting, or migrating records.
Step 1: Navigate to Data β Import / Export β Export.

Step 2: The Export Templates page appears with configurable options.

| 1 | Date From | Select the start date of the export range. Only records created or updated after this date will be included. |
| 2 | Date To | Select the end date for filtering export data. |
| 3 | Preset | Choose the data preset to export (e.g., Products, Technical Folders, Standards, etc.). |
| 4 | Format | Select the file format for the exported data (commonly Excel). |

Step 3: Once all parameters are set, click Download export to generate and download the data file.

Import
Import enables users to upload structured data into the system in bulk using predefined templates. This is essential when adding new records for products, suppliers, checklists, standards, or technical folders.
Step 1: Navigate to Data β Import / Export β Import.

Step 2: The Import Templates page will open, displaying sections grouped by data type (e.g., Product, Supplier, Technical Folder, etc.).
Each section includes one or more upload panels labeled as templates. You can either:
- Download the available Excel template for reference.
- Drag and drop your filled-in file into the designated area.
- Or Choose Files from your computer to upload.
Available Import Templates

| Standard | Standards (Generic) | Import standard definitions used across product or compliance processes. |

| Technical Folder | Technical Folder Presets, Technical Folders (Generic) | Import structured compliance folders and preset templates. |
| Checklist | Checkpoints with Inputs | Upload quality or inspection checklist templates. |
| Defects | Defects | Bulk import defect categories or related data. |
| User | Admin Users, Clients as Users, Suppliers as Users | Import user accounts by role or type with respective limits. |

Import History
Import History keeps a record of all completed and in-progress import jobs. This helps administrators track data uploads, monitor progress, and review errors.
Step 1: Navigate to Data β Import / Export β Import History.

Step 2: The system displays the Import Jobs page with a complete list of all past imports.

| 1 | ID | The unique identifier for each import task. |
| 2 | File | The uploaded file name can be downloaded for review. |
| 3 | Size | Indicates the file size. |
| 4 | Template | Specifies the import category used (e.g., Checkpoints, Products, Standards). |
| 5 | Upload Date | Date and time when the file was uploaded. |
| 6 | Parse Date | The timestamp when the system began reading the uploaded file. |
| 7 | Transform Date | The time when data was converted into the internal system format. |
| 8 | Import Date | The time when the import was completed. |
| 9 | Error Date | Displays any error timestamp if an import failed. |

You can use filters to narrow results by date, template, or error status. Options like Edit Mode, Embed, and Layouts allow for interface customization or embedding import data into dashboards.

Deleting or Reviewing Import Jobs
Old or invalid import entries can be managed directly from the Import Jobs list.
- Use Edit Mode to modify metadata fields if corrections are required.
- Use Clear Filters to reset search conditions.
- Click the file name to download and verify imported data.
