The Technical Folder is a centralized workspace within the SynControl platform designed to manage, organize, and monitor all compliance-related documentation associated with one or more products.
It functions as a digital binder that consolidates key compliance data, including supplier and factory details, product information, test reports, certifications, and document expiration dates, ensuring traceability, visibility, and regulatory conformity across all managed products.
In this guide, you will learn how to view, create, and manage technical folders efficiently within the SynControl platform.

Navigation
Step 1: Log in to your SynControl account using your administrator credentials and click on Data from the top navigation bar.

Step 2: From the dropdown menu, select Technical Folder List.

You will see a table displaying all available Technical Folders, their associated suppliers, products, factories, and compliance progress.
The Technical Folder List page provides a complete overview of all technical folders created in the system. It allows you to view status, expiration dates, and completion scores for each folder.

| 1 | Tech. Folder | Displays the automatically generated folder ID for each entry. |
| 2 | Products | Lists the products associated with the folder. Multiple products can belong to one folder. |
| 3 | Supplier | Displays the supplier responsible for the product(s). |
| 4 | Factory | The manufacturing facility associated with the supplier. |
| 5 | Status | Indicates the folder’s progress: New, Pending for Upload, Uploaded, Accepted, Rejected, or Archived. |
| 6 | Expiration | Shows the folder and combined expiration dates for compliance tracking. |
| 7 | Files | Displays the number of uploaded and total required files. |
| 8 | Score | Indicates the completion percentage (0–100%) based on uploaded and validated documents. |

At the top of the page, charts display folder distribution and completion summaries.

You can easily search or filter technical folders using the search bar at the top of the page. Enter the supplier, factory, or product name in the Search box and click the GO button.

Create a New Technical Folder
To create a new folder for managing compliance documentation:
Step 1: From the top navigation bar, click on Data → Technical Folder List → New Technical Folder.
This opens the Technical Folder creation form, where you can enter all details related to the product, supplier, and compliance requirements.

Step 2: The form contains four main tabs:
- Overview – Enter general folder details.
- Presets – Select pre-defined document requirements.
- Access Rules – Configure supplier permissions and upload rules.
- Files – View or upload related compliance files.

Overview Tab
The Overview tab contains the main details of your Technical Folder.

| 1 | Technical Folder Name | Enter a name or leave blank to auto-generate one. |
| 2 | Technical Folder No. | A system-generated unique folder ID. |
| 3 | Supplier | Select the supplier from the dropdown list. (Required) |
| 4 | Factory | Choose the factory associated with production. |
| 5 | Market Release Date | Specify the official release date of the product. |
| 6 | Expiration Date | Define the compliance or document expiration date. |
| 7 | Status | Select from: New, Pending for Upload, Uploaded, Accepted, Rejected, or Archived. |
| 8 | Keywords | Add keywords for easy folder search. |
| 9 | Products | Link one or more products to the folder. |
| 10 | Presets | Select a preset template defining the required compliance files. |
| 11 | Description | Add an internal description or remarks. |
| 12 | Comments from Uploaders | Allows suppliers to leave notes when submitting files. |
| 13 | Instructions to Supplier | Write custom instructions visible only to suppliers. |

EPR (Extended Producer Responsibility)
Select the applicable EPR category for your product. Available options include:
- ASL
- FUR
- DEEE
- Toys & Garden
- Textile
This ensures each folder meets relevant regional compliance requirements.

Additional Fields
These fields help define product risk and intended use:

| 2 | Intended Use | Specifies the official product purpose. |
| 3 | Risk Level | Indicates risk severity (e.g., Low, Medium, High). |
| 4 | Batch Code | Used for product traceability and quality control. |
| 5 | To Do | Notes or tasks for follow-up actions. |

Step 4: Once you’ve filled in all the required details, click Save to create the Technical Folder.

Edit or Delete a Technical Folder
You can easily delete and update an existing Technical Folder if details change (for example, supplier, expiration date, or product list).
Open the folder from the Technical Folder List, make the necessary updates, and click Save to apply changes.

Delete a Technical Folder
If a folder is no longer required, open it and click Delete Technical Folder.

⚠️ Deleting a folder permanently removes all associated files and data.
Viewing Folder Progress
The Technical Folder’s progress is automatically calculated based on uploaded and validated files.
- 0% - No files uploaded.
- 50% — Partial compliance, some files missing.
- 100% — All required documents uploaded and accepted.
Each folder’s score updates dynamically once files are reviewed or accepted.
